After School Programs

McGilvra’s After-School Enrichment Program offers students a wide variety of fun, hands-on classes led by trusted community providers. From art and music to STEM, sports, and creative activities, enrichment gives students the chance to explore new interests, build confidence, and connect with friends in a supportive, engaging environment.

We run three sessions each school year:

  • Fall: September – December
  • Winter: January – March
  • Spring: April – June

All classes are hosted on campus immediately after school and coordinated by the McGilvra PTA to ensure a smooth, safe, and positive experience for all families. There is one scholarship spot available per class. Please email McGilvra’s school counselor, Amy McCue, at asmccue@seattleschools.org for more information.

Registration Instructions

To streamline booking, we’ve adopted a new registration system called Homeroom, which allows you to sign up and manage all enrichment classes in one place.

Before enrollment opens, you can view the schedule and create an account in advance. Add your child’s info early to save time during registration.
Create a family account here: https://www.homeroom.com/register (select "Family"). Be sure to choose “McGilvra Elementary” as your school.


How to Book Classes

Visit https://www.homeroom.com/sites/mcgilvra-elementary-seattle/enrichment

  • Click an activity title to read full details.
  • When enrollment opens, click “Add to Cart.”
  • Open your cart (upper right-hand corner) and click the cart icon.
  • Proceed to checkout, adding student info and dismissal preferences for each class.
  • Enter payment information and confirm your order.
  • View your booked classes in your Homeroom account or add them to your calendar.
  • A confirmation email will be sent immediately and again 48 hours before class begins.

Program Notes

Parent/Guardian Responsibilities

By enrolling your child in a class, you agree to:

  • Know the start and end dates of the class.
  • Know class drop-off and pickup times.
  • Parents are responsible for prompt pickup after class. There is no supervision after class ends. Repeated late pickups may result in removal from the class without refund. No after-school bus transportation is available.
  • Parents will be contacted if class behavior is a problem and removal from class is an option if behavior doesn't improve.

Registration

Register online at Homeroom

  • Classes are first come, first served.
  • Waitlists are processed in the order received.
  • You’ll receive email confirmation once your child is enrolled.
  • Do not send your child to a class without written confirmation.

Weather & Cancellations

  • Classes are canceled if SPS ends the school day early (e.g., for weather).
  • No refunds are given for single-session cancellations.
  • Prorated refunds start with the second cancellation in a session.
  • If a class is under-enrolled, it may be canceled and fees refunded.
  • If an instructor cancels a session, a make-up class or pro-rated refund will be offered.

Withdrawal Policy

Refunds are available on this schedule:

  • Before first class: Full refund minus $50 admin fee
  • After first class but before second: 80% refund minus $25 admin fee
  • After second class: No refund

Getting To and From Class

  • Grades 1–5 transfer to enrichment classes independently (support available on-site).
  • Kindergarteners will be escorted to class.
  • Teachers are informed of rosters but are not responsible for transfers.

Behavior Expectations

Students are expected to follow the same behavioral standards as during the school day. If behavior becomes an issue:

  1. Parents/guardians will be contacted.
  2. The student gets one trial class to improve.
  3. Continued disruptive behavior may result in removal from the class without refund.

Please talk to your child to ensure they are interested in attending the class before registering.

⚠️ Required for Participation
All Enrichment providers must comply with the background check policy below in order to operate on campus.

Background Check Requirement for Enrichment Instructors

As part of our ongoing commitment to student safety, McGilvra PTA requires all after-school Enrichment providers to complete background checks for any instructors or support staff working on campus.

Requirements

  • Providers must run state and national criminal background checks for each onsite instructor.
  • Background checks must be completed within the last 12 months.
  • Providers are responsible for the cost of background checks.

What to Submit

Please provide one of the following prior to the start of each session:

  • A clearance letter for each instructor, or
  • A signed attestation listing all instructors assigned to McGilvra who have completed and passed a current background check

Additional Information

If your organization already conducts background checks as part of your hiring or onboarding process, you may continue using your existing system. In that case, simply submit a signed attestation each session confirming compliance. Full reports are not required.

Documentation must be submitted to the Enrichment Coordinator before the start of each session, and updated if additional staff are assigned.


Background Check Options for Enrichment Providers

Below are some commonly used screening services that meet the requirement for a state + national criminal history check. Providers may choose any service that meets or exceeds these standards.

Washington State Patrol (WATCH) – Name-Based Check

  • Cost: ~$12 per check
  • Fast, simple, and state-run
  • Good for instructors who already live/work in Washington

FBI Fingerprint Background Check

  • Typically done through approved fingerprinting vendors
  • Cost: ~$50–$60
  • Strongest level of screening (covers all states)
  • Good for multi-state providers or instructors who work across regions

Checkr (National Provider)

  • Cost: ~$30–$60 depending on package
  • Easy for organizations with multiple instructors
  • Includes criminal + national sex offender + global watchlist checks

Sterling (National Provider)

  • Cost: ~$30–$80
  • Widely used for youth organizations, recreation programs, gyms, and camps
  • Strong compliance safeguards

HireRight
